How To Manage Time Effectively When Your To-Do List Feels Overwhelming

Do you ever feel like there just aren’t enough hours in the day? Between training rollouts, performance reviews, and juggling various HR initiatives, your to-do list can quickly morph into a monster. Example: Imagine an L&D manager has a deadline to launch a new onboarding program (urgent and important). They also have a long list of administrative tasks (not urgent but important for smooth operations).  Using the Eisenhower Matrix, the manager would prioritize finalizing the onboarding program first, followed by delegating or scheduling time for administrative tasks.

Taming Your To-Do List:

Once you’ve identified priorities, it’s time to tackle that to-do list. Here are some techniques to keep it manageable:

  • Break down large tasks: Feeling overwhelmed by a big project? Chunk it down into smaller, more manageable steps. This makes the task seem less daunting and helps maintain focus.

As Mark Twain advised, “Eat a live frog first thing in the morning and nothing worse will happen to you the rest of the day.” 

  • Estimate time realistically: Don’t be overly optimistic when allocating time for tasks. Buffer in extra time for unexpected interruptions or delays.
  • Embrace the power of “No”: Learning to say no to additional requests when your plate is already full protects your time and prevents burnout.

 Laura Vanderkam, author of the book “168 Hours: You Have More Time Than You Think,” reminds us, “Just because something is a good opportunity doesn’t mean it’s a good use of your time.”
